- Enable the IMAP server of your current email server for the migration.
- Check your existing mailbox size and total number of user accounts.
- Connect to a stable internet connection for uninterrupted migration.
- Inform employees about the migration schedule and the possible temporary disruptions.
- Before migration, clean your account by removing unnecessary data or inactive users.
- Make sure you have proper admin credentials for both source and destination accounts.
After properly preparing your accounts, you can start the migration process. Now, let’s go through the process to move your domain to Microsoft 365.
How to Migrate Email Domain to Office 365?
Many email domain uses IMAP server, which you can use to migrate your domain. With this, you can use any programs, including cPanel email, Roundcube, Dovecot, Courier IMAP, Zoho Mail, etc. This method will be lengthy, so I am going to divide in several stages.
Stage 1: Add your Domain to Microsoft 365
There are two ways to add your domain: Domain Connect or Manual, if you are using Domain Connect.
- Log in to the Microsoft 365 Admin Center, if you are first time to add custom domain.
- Choose Show all from the left navigation bar. Click Setup.
- Click Get your custom domain set up under sign-in and security. Then, Get Started.
- If you want to add additional domains or continue setting up.
- Click on Show all button, choose Settings
- Select the Domains, then the + Add domain button.
- Enter a new domain name and then click Use this domain.
- Ensure the name of the registrar is displayed and select Verify.
- If your domain is registered in a different registrar, choose a different domain host. Then, verify it.
- Sign in to the DNS record, add a TXT file, and verify the domain ownership.
- Continue. How do you want to connect your domain page, select your Microsoft 365 services, and then the DNS records?
- Expand the Advanced options to view additional Microsoft 365 services.
- Verify that your DNS records are connected and authorized.
If the registrar does not support Domain Connection. You have to verify the domain ownership and manually add DNS records. After you add the domain name and click on Use this domain. Follow the steps below to verify your domain.
- In the verify page, select one option: add a TXT record to the domain’s DNS records. If you can’t add a TXT record, add an MX record, or add a text file to the domain’s website. After that, press Continue.
- Read the instructions for the selected option. Then, press Verify.
- Continue the page on how do you want to connect your domain.
- Select the Microsoft 365 service. Then, sign in to your registrar and manually add the required DNS records.
- After that, switch to the web browser or Microsoft 365 admin center. Press Continue. Complete the domain setup.
Stage 2: Create Microsoft 365 User Accounts
After you have added your domain to the user accounts, it’s time to create user accounts and migrate your data. When organizations transfer email hosting to Office 365, they prefer to use specialized software that you can use, FreeViewer IMAP Migration, which can easily and quickly change your emails, contacts, and calendars. Below are the steps that you can use.

- Choose your email domain from the source IMAP account. Provides the username and password. Click the Validate option.

- Apply Advanced Settings for the date filter. Then, press the Start Migration button.
Stage 3: Route Emails and Update DNS
After you have successfully migrated your data, you have to route your emails by following these steps.
- Go to the Microsoft 365 domain setup wizard. Click, I’ll manage my own DNS records.
- Microsoft provides you with specific DNS records like MX, TXT, and CNAME records.
- Log in to your domain registrar, delete old MX records, and paste the new ones.
- Back to Microsoft 365, then click Continue or Verify.
